Privacy Policy for SiteBoard

This Privacy Policy explains how SiteBoard (“we”, “our”, “us”) collects, uses, and shares information when you use the SiteBoard Android app (com.easit.siteboard).

1. Information We Collect

We collect the following categories of information to provide the app:

1. Account and profile information:
   • Name
   • Email address
   • Authentication identifiers from Supabase/Firebase (including when signing in with Google)
2. Project and collaboration data you create:
   • Project details (for example: project name, description, location, security mode)
   • Member data (for example: member name/email, role/status)
   • Daily log data (for example: tasks, weather, workforce count, observations, confirmations)
   • Inventory and ledger records
   • In-app notification records
3. Media you choose to upload:
   • Project cover photos
   • Daily log images
4. AI summary input/output:
   • Daily log content and project context that you ask the app to summarize with AI
   • Generated project summary output
5. Device and app data for notifications:
   • Firebase Cloud Messaging (FCM) token
   • Device identifier (ANDROID_ID)
   • App version and platform
6. Local app preferences:
   • Theme preference
   • Sync preference
   • Notification preference

2. How We Use Information

We use data to:

• Create and manage your account
• Sync your project data across devices and with collaborators
• Deliver app features (daily logs, inventory, summaries, PDF export, notifications)
• Send and manage push notifications
• Improve reliability, security, and app operations

We do not sell your personal information.

3. Third-Party Services

SiteBoard uses third-party service providers that may process data on our behalf:

• Supabase (authentication, database, storage): https://supabase.com/privacy
• Google Firebase (Cloud Messaging, authentication integrations, AI): https://firebase.google.com/support/privacy
• Google Sign-In / Google APIs (if you choose Google login): https://policies.google.com/privacy

These services may process technical data such as IP address, device details, and service interaction metadata as part of providing their infrastructure.

4. Data Sharing

We share data only as needed to operate the app:

• With infrastructure providers listed above
• With other members in projects you create or join (for example your name/email and project activity)
• If required by law or to protect legal rights and security

5. Data Retention

We retain data for as long as needed to operate SiteBoard and provide your account features, or as required by law.

When you delete your account in the app, SiteBoard attempts to delete associated account data from backend systems. If deletion is incomplete, you can contact us to request manual deletion.

6. Your Choices and Rights

You can:

• Update or remove project content in the app
• Leave projects or manage member access (depending on your role)
• Disable notifications in Android settings and in-app preferences
• Delete your account from the Profile screen

7. Permissions

SiteBoard uses these Android permissions:

• INTERNET and ACCESS_NETWORK_STATE to sync and load cloud data
• POST_NOTIFICATIONS to deliver push notifications (Android 13+; permission can be denied)

SiteBoard does not request location, contacts, microphone, or camera runtime permissions.

8. Security

We use reasonable technical and organizational measures to protect information. However, no system can be guaranteed 100% secure.

9. Children’s Privacy

SiteBoard is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

10. International Data Transfers

Your data may be processed in countries other than your own, including where our third-party providers operate.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version with a new “Last updated” date.
